RCG Committees

Committees provide support for our students.  Each committee has a chairperson, but most of our committees need volunteers on a regular basis.  If you are interested in volunteering, let the committee chair know so that you will be notified when they have a need.  Letting the committee chair know that you are willing to help does not imply that you will work every week.  It just lets them know that you are interested in helping when you can.

Band Camp – Open

This committee will work with the directors and drum majors to help plan for the week-long band camp in July/August.  They will help plan and implement spirit days, water day, games, and any decorating or other coordination of food drives, fundraising events, etc.

Chaperone Coordinator – Kim Povinelli 

This committee watches over our kids at practices, games, contests, and concerts.  This includes keeping them safe, providing light first aid (no CPR certification required), and riding the buses to and from events.  We will have a few quick "training sessions" to show them where we keep all of the first aid supplies and items needed for practices and competitions. You are welcome to have younger siblings with you while you chaperone.

Food/Refreshments Coordination – Open

This committee provides food and water to our students before football games, during band camp, cookouts, and other special events.

  • Parent Preview Pitch-In Night – the Thursday practice during the second week of band camp parents are invited to come and see what the students have been learning for the last 2 weeks. 

Front Ensemble Coordinator (Pit Boss) Open

This committee helps our students transport and move their equipment.  This involves coordinating with the Royal Guardians Booster Board to reserve our rental trucks, helping the students load and unload the semi-trailer, and walking with the students at contests and football games to help push rolling instruments (the pit).  it is really important that you register if you intend to help and that you are there when the buses arrive because we get a limited number of field passes and we need to know to whom they are going.

Fun and Spirit Committee Open

Many of these jobs are small, one-time tasks that are a great way for new parents to get involved. If you like having friends over or throwing a party, this may be the category for you to get involved in. This committee also includes Buddy Bags, Trunk or Treat for the band members, Locker Signs, Decorating the Band Hall, and Band Room for the weeks leading to contests and the end-of-season celebration.            

Fundraising – Corie Chaplin

This committee would assist with all facets of fundraising including, but not limited to:

Corporate Sponsorship – Possibly the job with the biggest potential impact on the band, this person would pursue getting local businesses to sponsor the program in return for signage on our trailer and at our invitational contest.  This committee pursues corporate sponsorships and seeks opportunities to raise money to support the band and lower our fees. Also, if your employer happens to offer matching gift programs, PLEASE consider the Guardians.  We are a 501c3 non-profit organization and we qualify for most of these company match programs.

Dine to DonateWork with local restaurants to coordinate special days once a month when the HSE Band program would receive a portion of the proceeds for that night.

Car Wash Coordinate with the Directors to choose a date and reserve the parking lot with the school.  Organize/track the presale of tickets for students selling to decrease fees.

Direct Sales Fundraising – Coordinate with the Royal Guardians Booster Board to research and implement fundraising sales for the HSE Band program.  This could be Popcorn Sales, Yankee Candle, Candy, etc.

Guard Contest Host Coordinator – Sheri Elfreich

This person manages and organizes our winter guard invitational contest which is typically in February. Planning would begin in November.  There are a number of sub-committees as part of this event – Vendor Chair, Hospitality Chair, Volunteer Coordinator, Concession Stand Coordinator.

Prop Coordinator

This person and a committee would meet with the directors to coordinate the props they want for the show and create a plan to execute their vision.  Whether it is building props or purchasing props depending on budget.

Ruoff Home Mortgage Personal Fundraiser – Becky Sheldon

This person coordinates and organizes the parents who volunteer to work the concessions at Ruoff as a way to significantly offset their student account fees.

SCRIP – Carrie Lannen

The SCRIP coordinator takes orders for SCRIP from our parents and delivers the cards to them.  SCRIP is a way to defer the cost of our band program by getting a percentage of your purchases at local businesses donated back into your student account.

Senior Banner Coordinator

This person will coordinate the photos for Senior Banners, order the banners, and hang the banners in the stadium. They will work with the Band Directors on the location of where to hang them in the stadium.

Uniforms – Kristi Hibbetts

This committee starts in May or June coordinating Marching Uniform fittings for the students. Continues throughout the marching band season helping maintain the uniforms, in addition to assisting students to suit up each week for performances.

Additional Volunteers: 

Concert Band Attire – Open

Assist fitting students during regular Concert Band Class for Formal Concert Attire (tuxes and dresses) at the beginning of the school year.

Winter Season Volunteers – starting in January

Winter Percussion

Truck Logistics Coordinates with the Royal Guardians Booster Board to rent a truck, and hire a driver for Winter Percussion Contests.

Percussion Pit Crew Small group of people to help load and unload equipment and move equipment at contests.

Winter Percussion Chaperone Coordinator Coordinates chaperones for Winter Percussion contests by creating a Sign-Up Genius and being in communication with the percussion director.

Winter Percussion Refreshment Coordinator  Works with a committee to plan the last lunch or dinner before finals for winter percussion members. Also works with a committee to coordinate meals and snacks for out-of-town contests.

Winter Percussion Housing Coordinator Works with the Director and Royal Guardians Booster Board to secure a hotel for Winter Percussion Ensemble and Staff for out-of-town contests.

Winter Guard
